Borrowing Guidelines

NYC Energy Tools is a free resource for City agency employees brought to you by the NYC Department of Citywide Administrative Services Energy Management (DEM) and the CUNY Building Performance Lab (CUNY BPL). CUNY BPL personnel are available to assist with the selection of equipment to help diagnose problems with or take measurements in your buildings, and to provide applicable training.

How to borrow equipment

To ensure you follow the procedure from equipment request to return, please use this Equipment Checklist.

If you require assistance or want to be sure you’re selecting the right equipment, contact us. We will respond within one business day.

Request equipment

If you know exactly what you want to borrow, you can log in, add equipment to your cart and check out with your project information.

Receive equipment

Once we confirm your request, it takes one or two days to prepare the equipment and make it available for pick-up or send via courier service.

Some instruments are in high demand and may have a waiting list established. Please be sure to confirm availability with us before making any project arrangements to avoid any delays.

How to return equipment

In an effort to improve the procedural management of equipment distribution when sending out and retrieving equipment, please make sure to use the Equipment Checklist.

In person

  2. Schedule a time and day to drop-off equipment at our downtown office:

We’re located near the 1 train Rector St. station, between Greenwich St. and Rector St.

Via FEDEX

  1. Contact our Equipment Specialist, Felix Rodriguez, at frodriguez3@ccny.cuny.edu
  2. Prepare the equipment you will be returning by using your own box or request a box from FEDEX for free
  3. Wait for a FEDEX prepaid Return Label from Felix Rodriguez
  4. Attach FEDEX prepaid Return Label to Box
  5. Drop off the box at any authorized FEDEX location near you

Equipment considerations

Electrical power meters

Borrowers are required to agree they will have a licensed qualified electrician install power meters on electric panels or other location with a line voltage above 12 volts.

Infrared cameras

Infrared cameras have a maximum loan period of two weeks. If more time is needed, borrowers will must request an extension to the loan prior to the return due date. 

Ultrasonic flow meters

Ultrasonic flow meters are very challenging to set up and operate properly. We can provide guidance and training at the point of pick-up, and can also arrange agency outreach onsite installation.

Software

Data loggers and proprietary software associated with any tools borrowed will be made available to the borrower during the duration of the loan.

Lost or damaged equipment

By signing the NYC Energy Tools Equipment Loan form or requesting equipment via our website, the borrower agrees to return equipment in the same condition it was in when borrowed. If equipment is lost / stolen or damaged, borrowers are responsible for either replacing the equipment in kind or reimbursing FELL for the full replacement value of the items. If the borrower moves the equipment to a different facility, CUNY BPL needs to be notified of the new location.

If a third-party consultant uses the equipment on the borrower’s behalf, the borrower automatically assumes and acknowledges responsibility for the equipment and is still responsible for replacing or reimbursing the full cost for any lost / stolen or damaged equipment.

Courier service

We employ a courier service, available to all 5 borough in New York City (only available to City agency employees).
